Terms and Conditions

These Terms and Conditions (“Terms”) govern your registration and participation in events organised by Hivemind Trading Ltd (“we,” “us,” or “our”), registered in Larnaca, Cyprus, and your use of hivemind.world. They should be read alongside our Privacy Policy (which includes our Data Policy) and Cookie Policy, all available at hivemind.world.

By registering for an event (whether through our website or a third-party platform such as Luma), checking the acceptance box, and proceeding with registration, you enter into a binding contract with us. If you do not agree, do not register or attend. We reserve the right to refuse or cancel any registration at our discretion.

1. Registration

To register, you must complete the registration form accurately, accept these Terms, and where applicable, complete payment. Registration is confirmed only upon receipt of a written confirmation email. If you register through a third-party platform such as Luma, that platform operates under its own terms and privacy policy, and we are not responsible for its operation.

You must provide accurate registration information, including your name, business email, phone number, job title, LinkedIn URL, company details, and any accessibility or dietary information you choose to share. Notify us of any material changes at [email protected].

Eligibility: You must be at least 18 years of age, or between 16 and 17 with verifiable parental consent. You must have the legal capacity to enter a binding contract and comply with applicable laws in the event’s jurisdiction.

Check-in: Bring your confirmation email on the day. Specific access requirements (e.g., ID for certain venues) will be communicated in advance. We reserve the right to refuse admission to anyone whose registration has been cancelled or who does not meet communicated requirements.

Attendance announcement: Your company name may be mentioned in our social media posts or on our website upon registration. To opt out, notify us in writing at [email protected] before the event.

2. Tickets and Payments

Ticket prices are as stated at checkout and inclusive of applicable taxes unless otherwise noted. Payments are processed securely via our payment processor; we do not store full card details. Tickets are non-transferable without our prior written approval. If you wish to transfer your ticket, email [email protected].

3. Cancellations and Refunds

All ticket sales are final and non-refundable, except as stated below or as required by law.

EU Consumer Rights: Under EU Directive 2011/83/EU, consumers normally have a 14-day right of withdrawal from distance contracts. However, this right does not apply to leisure activity contracts with a fixed date (Article 16(l)). Event tickets are therefore exempt from this right. By registering, you acknowledge this.

If we cancel: Where we cancel for reasons within our control (e.g., low attendance), we will offer a full refund within 30 days. Where cancellation results from circumstances beyond our control (see Section 9, Force Majeure), we will endeavour to offer a credit or rescheduled date. Refunds in force majeure cases are not guaranteed and are considered at our discretion or where required by law. In all cases, we are not liable for travel, accommodation, or other costs you may have incurred.

If we reschedule: Your ticket remains valid for the new date. No refund is issued for rescheduling alone. If you cannot attend the new date, notify us in writing within 10 business days of the announcement and we will do our best to accommodate you.

4. Programme Changes

We reserve the right to change any aspect of an event, including venue, schedule, format, and speaker line-up. Speakers are subject to substitution without notice. Changes to the programme, including speaker substitutions, session cancellations, or format changes, do not entitle you to a refund unless the event is cancelled entirely.

You agree to behave professionally and respectfully at all times. Prohibited conduct includes:

Attendees may not record sessions or content without our prior written consent. Unauthorised recordings must be deleted on request.

6. Photography, Recordings, and Intellectual Property

We may photograph and record our events and use that content for promotional and commercial purposes, including on our website, social media, and printed materials. By attending, you consent to being recorded, including your image, likeness, voice, and face, and to our ongoing use of those recordings. Withdrawal of consent does not affect recordings already made.

All event and website content is our intellectual property or licensed to us. You may not reproduce or distribute it without our written permission. Content from speakers or sponsors remains theirs.

7. Liability

Our events and website are provided on an “as is” basis. Nothing we publish or present constitutes financial, legal, or professional advice.

You attend at your own risk. We are not responsible for personal injury, loss or damage to property, actions of third parties (including other attendees, speakers, or venue staff), or failure of third-party services. Where events are held at third-party venues, the venue operator’s own rules and liability policies apply.

Our total liability to you will not exceed the registration fee you paid. We exclude all liability for indirect or consequential losses. Nothing here limits our liability for death or personal injury caused by our negligence, fraud, or any liability that cannot be excluded by law.

8. Data

By registering, you consent to our collection and use of your personal data as described in our Privacy Policy (which includes our Data Policy) at hivemind.world. We may share limited data with vendors (e.g., badge printers) and with sponsors only if you have opted in. You may opt out of marketing at any time via [email protected].

9. Force Majeure

We are not liable for failure or delay caused by events beyond our reasonable control, including acts of God, pandemics, war, terrorism, governmental action, strikes, or third-party infrastructure failure. We will notify you as soon as practicable in such circumstances.

10. Governing Law

These Terms are governed by the laws of Cyprus. Any disputes that cannot be resolved amicably will be subject to the exclusive jurisdiction of the courts of Cyprus. If any provision is found invalid, the remaining Terms remain in force.

11. Changes

We may update these Terms at any time. The date at the top reflects the current version. Continued registration or attendance after an update constitutes acceptance.
